Contract to Close

Contract to Close: Our Process

Our goal is to ensure that you and your clients have a smooth transaction from executed contract to the closing table. We achieve this by assisting you with all of the daily details of your contracts once they have been executed.  We ensure that all parties involved are updated with what is going on during the transactions, in addition to making sure deadline are being met and that we close on time. We are your assistants while you are out of the office doing what you do best—opening doors and selling homes! Let us take care of the paperwork. 


Below is a list of general items we handle during the contract to close process. The process can be adjusted and specialized depending on the agent. 


Option Period: 

  • Review executed contract for accuracy and compliant issues, as well as ensure appropriate addendum are attached and accounted for. 
  • Provide a transaction overview form with contact information and deadlines pertaining to the contract. 
  • Manage and send calendar invites  with important dates to agent's preferred email. 
  • Exchange supporting documentation such as the seller’s disclosure, survey, T-47 affidavit, Austin ECAD, etc. 
  • Assist in the coordination of earnest and option funds.
  • Introduce parties to ensure clear communication throughout the process. 
  • Schedule inspections and provide a list of repairs to the agent, if representing the buyer. (transaction coordinators do not negotiate repairs.)
  • Prepare amendments per instructions of the agent.
  • Provide an option reminder. 
  • Send home warranty options to buyers and facilitate the order with the title company. 
  • Facilitate the purchase and scheduling of a new survey, if needed. 
  • Facilitate the termination of contract if required including the termination notice and reminding the title company to release funds. 


After Option:

  • Help in scheduling, facilitating, and exchanging repair updates.  
  • Follow up with responsible parties of any contingencies according to the contract including Third-Party Financing, HOA Documents, Resale Certificate, Contingency for Sale of Another Property, Seller’s Temporary Lease Back, Etc. 
  • Confirm utility information with the seller and provide to the buyers. Remind clients to turn utilities on or off. 
  • Schedule closing and the final walk-through with clients and cooperating agent.  
  • Provide detailed emails to clients on how closing is to take place including funding, exchanging of funds, and key exchange. 
  • Remind agent to get a closing gift ready for client one week prior to closing. 
  • Review the Final Statement with agent for accuracy. 


After Closing

  • Send calendar reminders and draft emails/letters to the agent and personally remind agent to follow up with the client after closing and to send a review reminder. 


What We Do & Do Not Do:

Included:

  1. Keep you and your clients updated on the transaction. 
  2. Provide detailed emails to your clients to ensure that they know what steps they need to take and what is occurring during the transactions. 
  3. Ensure the line of communication is always opened to all parties involved including the lender, title company, cooperating agent, and you and your clients. 
  4. Assist agents who are in the field to prepare amendments, emails, or phone calls if needed. 
  5. Review documents and exchange documentation in a timely manner to ensure all deadlines are met. 
  6. Remain updated on critical dates and deadlines to ensure all parties are aware and the transaction is running smoothly. 


Not Included: 

  1. We do not open doors for agents. 
  2. We do not negotiate on any items.
  3. We do not verify compliance (refer to your brokerage).
  4. We do not take over your transaction entirely. All agents are still responsible for their transactions. We are here to assist you.
