Compliance & Listings Coordinator

The Real Estate Assistant is growing, and we need a calm, steady, systems-loving human to help keep our compliance and listings running smoother than a clear-to-close email.


We are a women-owned Texas real estate support company providing transaction coordination, broker compliance review, and marketing services. We believe in boundaries, ownership, clean systems, and solving problems before they become fires.


What You’ll Be Doing (Aka: Your Superpowers)

Broker Compliance Review

  • Reviewing agent files for brokerages and catching what others miss
  • Identifying missing documents, incorrect forms, signature gaps, timeline issues
  • Communicating clearly (and professionally) what needs to be corrected
  • Helping us refine and improve our compliance systems


TC Compliance Support

  • Uploading transaction documents into brokerage compliance platforms
  • Making sure files are DA-ready and audit-ready
  • Supporting the owner with compliance-related projects


Full-Service Listing Coordination

  • Drafting listing agreements
  • Coordinating photographers and vendors
  • MLS input (ABOR, HAR, etc.)
  • Writing/editing listing descriptions
  • Managing timelines from pre-list to active
  • Making sure listings are polished, compliant, and launch-ready


You’ll touch multiple parts of the business. If you love variety and structure at the same time, this will feel good.

Non-Negotiables

  • 2+ years working directly with Texas (TREC) contracts
  • Experience reviewing contracts and tracking deadlines
  • MLS input experience
  • Must work CST
  • Must be available Monday–Friday, 9:00 AM–2:00 PM CST
  • Reliable home office + strong internet
  • A license isn’t required, but strong TREC knowledge is.


The Details

  • W2 Employee
  • $20/hour
  • 25 hours/week (9–2 CST)
  • 50 hours PTO annually
  • $200 annual stipend
  • 90-day review period
  • Opportunity to grow with us OR stay steady long-term

KEY RESPONSIBILITIES:

  • Manage real estate transactions from contract to close with expert-level precision.
  • Provide concierge-level service to agents and their clients to enhance the home buying/selling experience.
  • Ensure compliance while proactively troubleshooting potential issues before they happen.
  • Work seamlessly with title companies, lenders, and clients to streamline the process beyond paperwork.
  • Use Open to Close to manage and track files efficiently.
  • Leverage our marketing services to help your agents attract more business and establish themselves as industry leaders.
  • Enjoy work-life balance—because we cover for you when you need time off.


REQUIREMENTS:

  • Active Texas Real Estate License (This is a must!)
  • Proven Experience as a Transaction Coordinator (We need someone who knows their way around a file.
  • Expertise in Texas Real Estate Contracts (TREC forms? No problem.)
  • Proficiency in Open to Close & Cognito Forms (You’re already familiar with these tools.)
  • Bilingual in Spanish? 🎉 That’s an extra bonus!

COMPENSATION & PERKS:

  • 1099 Contractor Position – Work independently with full support.
  • Earn a 60% Split – You keep the majority of your earnings while we handle the overhead.
  •  $100 Monthly Tech Fee – Covers branded email, Open to Close, Cognito Forms, and invoicing for seamless transaction management.
